Privacy Notice

This Privacy Notice explains how Nature’s Playbook collects, uses, stores, and protects personal information.

Nature’s Playbook is operated by Dr Emma Fromberg, trading as Nature’s Playbook. If Nature’s Playbook is later incorporated as a company, this notice will be updated to reflect the new legal entity.

1. Who this Privacy Notice applies to

This Privacy Notice applies to people who:

  • visit the Nature’s Playbook website;

  • contact Nature’s Playbook by email or through a website form;

  • sign up to the Nature’s Playbook newsletter;

  • purchase or enquire about the Nature’s Playbook toolkit;

  • register for or purchase access to the Field Guide;

  • use the Field Guide and its AI-supported learning activities;

  • take part in workshops or events;

  • choose to take part in optional research connected to the Field Guide.
     

2. What information we collect

The personal information we collect depends on how you interact with Nature’s Playbook.
 

Website visitors

When you visit the website, information may be collected through cookies and similar technologies.

This may include technical information such as:

  • browser type;

  • device type;

  • approximate location;

  • pages visited;

  • time spent on the site;

  • how you interact with the site.
     

The website currently uses Wix and a cookie banner provided through Usercentrics. Wix Analytics and Google Analytics may be used to understand how visitors use the website and improve the site experience.
More information is provided in the separate Cookie Notice.
 

Newsletter subscribers

If you sign up to the newsletter, we collect information such as:

  • your email address;

  • your name, if you provide it;

  • your newsletter preferences;

  • information about whether you open or interact with emails, where this is available through the mailing system.
     

Newsletter sign-up is optional. You will only receive marketing or newsletter emails if you actively sign up to receive them.
 

Enquiries and email contact

If you contact Nature’s Playbook, we may collect:

  • your name;

  • your email address;

  • your organisation, if provided;

  • the content of your message;

  • any information you choose to include in your enquiry.
     

This information is used to respond to your enquiry and manage the relationship with you.
 

Toolkit purchases

The Nature’s Playbook physical toolkit may be sold through an external platform, such as the King’s e-store. If you purchase the toolkit through an external store, the payment and order process is handled by that external provider and is subject to its own privacy notice and terms.
 

Nature’s Playbook may receive limited information needed to respond to enquiries, support fulfilment, or manage related communications, depending on the purchasing route.
 

Field Guide registration and access

If you register for or purchase access to the Field Guide, we may collect:

  • your name;

  • your email address;

  • your language preference;

  • your registration status;

  • your payment status;

  • your course access status;

  • account and login information;

  • saved progress through the course.
     

The Field Guide is intended for adults aged 18 and over.
 

Field Guide learning data

When you use the Field Guide, you may provide information as part of the learning experience. This may include:

  • your circular economy challenge;

  • written responses to course prompts;

  • reflections entered during the modules;

  • AI Guide conversations;

  • uploaded photographs from the field observation / Bingo Card activity;

  • saved progress;

  • final downloadable Field Notes;

  • information about how you move through the course.
     

This information is used to provide the Field Guide learning experience, save your progress, generate your Field Notes, and support your access to the course.

You should not enter confidential, commercially sensitive, legally sensitive, personally sensitive, or special category data into the Field Guide. The Field Guide is designed for learning and reflection. Please describe your challenge at a level that is useful without disclosing information that would be harmful if accessed by someone else.
 

Payments

Payments for the Field Guide are processed through Stripe. Stripe may collect and process payment-related information such as:

  • payment card details;

  • billing information;

  • transaction details;

  • invoice or receipt information.
     

Nature’s Playbook does not receive or store your full payment card details. Stripe generates receipts and/or PDF invoices after payment completion.

Stripe processes payment information according to its own privacy notice and terms.
 

Workshops and events

If you take part in a Nature’s Playbook workshop or event, we may collect:

  • your name;

  • your email address;

  • your organisation or role, if relevant;

  • dietary or accessibility information, if needed for the event;

  • feedback you choose to provide;

  • photographs or recordings only where this has been made clear and consent has been obtained where required.
     

Optional research participation

The Field Guide includes an optional research participation element. This is currently presented towards the end of the course and can be skipped.

If you choose to take part in the research, only the specific responses you provide on the research participation page are used for research. These may include reflections on your experience of the Field Guide, what you found useful, and how the learning experience shaped your thinking.

Research participation is optional and separate from access to the Field Guide.

The research data is collected in anonymised form. Once submitted, it is not possible to identify and remove your individual response because it is no longer linked to you. This means you cannot withdraw that anonymised research response after submission.

The research has received ethical approval through King’s College London as part of a minimal risk assessment. Anonymised research data may be retained and used for academic research and may be stored in a research data repository after the research is completed.
 

3. How we use your information

We use personal information to:

  • provide and maintain the Nature’s Playbook website;

  • respond to enquiries;

  • send newsletters where you have signed up to receive them;

  • manage toolkit-related enquiries and support;

  • register learners for the Field Guide;

  • process Field Guide payments through Stripe;

  • provide access to the Field Guide;

  • save course progress;

  • support AI-guided learning interactions;

  • generate downloadable Field Notes;

  • send transactional emails, such as registration confirmations, access links, password recovery emails, purchase confirmations, and course access updates;

  • provide support for access, payment, or technical issues;

  • manage refunds where appropriate;

  • improve Nature’s Playbook resources and learning experiences;

  • conduct optional anonymised research where consent has been given;

  • meet legal, tax, accounting, and record-keeping obligations;

  • protect the security and integrity of the website and Field Guide platform.
     

4. Lawful bases for using personal information

Under UK data protection law, we need a lawful basis to use your personal information.

Depending on the situation, we may rely on:
 

Contract

We use your information where it is necessary to provide something you have requested or purchased, such as Field Guide access, transactional emails, learner account management, receipts, invoices, or support.
 

Consent

We rely on consent for optional activities such as newsletter sign-up, non-essential cookies, and optional research participation.

You can withdraw newsletter consent by unsubscribing or contacting hello@naturesplaybook.org.
 

Legitimate interests

We may use information where we have a legitimate interest in operating and improving Nature’s Playbook, responding to enquiries, protecting the platform, managing support, understanding website use, and maintaining business records, provided this does not override your rights and freedoms.

Legal obligation
 

We may use or retain information where required for legal, accounting, tax, consumer protection, or regulatory purposes.
 

5. AI-supported Field Guide

The Field Guide uses AI to support the Guide consultations and reflective learning experience.

The AI is used as a learning and reflection tool. It is not a substitute for legal, financial, business, strategic, technical, or professional advice. Outputs generated by the Field Guide should be treated as prompts for reflection and further investigation, not as recommendations to implement without your own judgement and due diligence.

Learner input may be processed by the AI systems used to generate Guide responses and Field Notes. Nature’s Playbook does not use learner input to train or change the Field Guide for other users.

Technical details about the AI provider, hosting provider, and data processing arrangements will be confirmed and reflected in this Privacy Notice before launch.
 

6. Who we share information with

We may share personal information with trusted service providers where necessary to operate Nature’s Playbook. These may include:

  • website hosting and website platform providers, including Wix;

  • cookie consent tools, including Usercentrics;

  • analytics providers, including Wix Analytics and Google Analytics;

  • newsletter and email tools, including Wix newsletter tools and Google Workspace;

  • payment processors, including Stripe;

  • the King’s e-store or other external stores where relevant to toolkit purchases;

  • the technical provider responsible for hosting and maintaining the Field Guide platform;

  • AI service providers used to power the Field Guide;

  • professional advisers, such as accountants, legal advisers, or technical support providers, where needed;

  • King’s College London only where relevant to approved research governance and ethics, and only in relation to the optional research element.

We do not sell your personal information.

We do not send marketing emails to Field Guide learners unless they have separately signed up to receive marketing or newsletter communications.
 

7. International transfers

Some of the service providers used by Nature’s Playbook may process personal information outside the United Kingdom or European Economic Area.

Where this happens, we will take steps to ensure that appropriate safeguards are in place, such as standard contractual clauses, adequacy decisions, or equivalent safeguards provided by the relevant service provider.
 

8. How long we keep information

We keep personal information only for as long as necessary for the purposes described in this Privacy Notice.
 

Website and enquiry data

Website analytics and enquiry records are kept for as long as needed to understand website use, respond to enquiries, and manage the Nature’s Playbook service.
 

Newsletter data

Newsletter subscription data is kept until you unsubscribe or ask for your details to be removed.
 

Field Guide learner data

Field Guide learner accounts, course responses, uploaded photographs, AI Guide interactions, saved progress, and Field Notes are currently intended to be retained until September 2028, unless you request deletion earlier.
 

Nature’s Playbook currently plans to close all Field Guide learner accounts and delete associated learner data in September 2028.
 

Payment and invoice data

Payment, invoice, and transaction records may be retained for longer where required for tax, accounting, legal, or fraud prevention purposes.
 

Research data

Optional research responses are anonymised at the point of submission into the research dataset. Because this data is not linked to identifiable individuals, it cannot be removed after submission. Anonymised research data may be retained for research purposes and stored in a research data repository after the research is completed.
 

9. Security

We take reasonable steps to protect personal information and use trusted service providers to operate the website, Field Guide, payments, email, and related systems.

However, no digital system can be guaranteed to be completely secure. You should not enter confidential, commercially sensitive, legally sensitive, personally sensitive, or special category information into the Field Guide.

While learner entries are treated as confidential, there is always a risk that information could be accessed unlawfully through a security breach. You are responsible for deciding what information is appropriate to enter into the Field Guide.
 

10. Your rights

Depending on the circumstances and applicable data protection law, you may have rights to:

  • access the personal information held about you;

  • correct inaccurate information;

  • request deletion of your information;

  • restrict or object to certain uses of your information;

  • withdraw consent where processing is based on consent;

  • request a copy of your information in a portable format;

  • complain to the UK Information Commissioner’s Office.

Please note that anonymised research data cannot be removed after submission because it is no longer linked to you.

You also have the right to complain to the UK Information Commissioner’s Office. The ICO is the UK regulator for data protection.
 

12. Changes to this Privacy Notice

This Privacy Notice may be updated from time to time, especially as Nature’s Playbook develops, the Field Guide platform is finalised, or Nature’s Playbook becomes a limited company.

The latest version will be published on the Nature’s Playbook website.
